These Terms & Conditions (“Terms”) govern the use of all products and services provided by UKBD TECH LTD trading as CROWN EPOS (“we”, “us”, “our”).
By using our hardware, software, POS systems, RMS, online ordering platform, or any related services, you (“the Client”, “the Restaurant”) agree to these Terms.

2.Services Provided
We supply:
- POS hardware and accessories
- Restaurant Management System (RMS)
- Online ordering platform
- Website development, hosting and management
- Technical support
- Integration with third-party payment processors (e.g., Stripe, Ryft)
We act as a technology provider, not a food seller or financial institution.
3.Client Responsibilities
Clients agree to:
- Provide accurate business information during onboarding
- Maintain secure access to their accounts
- Ensure staff use the system responsibly
- Comply with all applicable laws and regulations
- Manage their own customer relationships, including refunds and disputes
4.Payment Terms
- Payment is required upfront before hardware is dispatched or services are activated.
- All subscription services are billed monthly in advance.
- For recurring subscription services, any period already used is strictly non-refundable.
- For services billed on a per-transaction basis (e.g., online POS or online ordering), all transaction fees generated from customer orders are non-refundable once processed.
- All charges are applied in accordance with the Terms & Conditions the customer agreed and signed up to at onboarding.
- Failure to make payment may result in temporary suspension of services.
5.Payment Processing & Payouts
- Payments made by end-customers for food orders are processed directly through the restaurant’s own payment merchant account set up during onboarding.
- We do not handle, hold, or control customer funds at any point.
- All settlements are made directly from the payment merchant to the restaurant, minus any applicable platform fees, subscription charges, or transaction-based fees.
- CROWN EPOS does not issue refunds to end-customers. Restaurants are solely responsible for managing and issuing refunds for their own customer orders.
- CROWN EPOS does not store, process, or transmit cardholder data. All payments are handled securely by the integrated payment merchant in compliance with PCI-DSS Level 1 requirements.
6.Hardware Warranty
All hardware supplied by CROWN EPOS includes a 1-year warranty covering manufacturing defects.
The warranty does not cover:
- Accidental damage
- Liquid damage
- Improper installation
- Third-party repairs
- Damage caused by misuse or neglect
7.Software & Subscription Terms
- Software licences and subscriptions are granted on a non-exclusive, non-transferable basis.
- Access may be suspended for non-payment or misuse.
- Updates, improvements, and feature changes may be released at our discretion.
- We do not guarantee uninterrupted service, though we aim for high availability.
8.Refunds
Refunds are governed by our Refund Policy, which forms part of these Terms. Key points include:
- 30-day refund window for hardware and software (conditions apply)
- No refunds for used subscription periods
- No refunds for processed transaction fees
- No refunds for partial months or unused time

9.Data Protection & Privacy
Our processing of personal data is governed by our Privacy Policy, which complies with:
- UK GDPR
- Data Protection Act 2018
We act as:
- Data Controller for restaurant client data
- Data Processor for customer order data
We do not sell personal data.
10.System Availability & Support
We aim to provide reliable services but cannot guarantee:
- 100% uptime
- Freedom from errors
- Uninterrupted access
Support is provided via phone, email, engineer visit to client site, and/or remote assistance. Hardware support is provided under the warranty terms.
11.Limitation of Liability
To the maximum extent permitted by law:
- We are not liable for loss of profits, revenue, business interruption, or data loss.
- We are not liable for issues caused by third-party services (e.g., payment processors, hosting providers).
- Our total liability is limited to the amount paid by the client in the previous 30 days.
Nothing in these Terms limits liability for fraud or matters that cannot be excluded by law.
12.Termination
We may terminate or suspend services if:
- Payments are overdue
- The system is misused
- Fraudulent or illegal activity is detected
Clients may terminate services by providing written notice, subject to subscription terms and notice periods.
13.Changes to These Terms
We may update these Terms from time to time. The latest version will always be published on our website.
14.Governing Law
These Terms are governed by the laws of England and Wales. Any disputes will be handled by the courts of England and Wales.
